The Tsleil-Waututh Nation Community Society (TWNCS) is a registered charity dedicated to supporting Tsleil-Waututh Nation (TWN) Members through small grants that uplift our community in the areas of:

TWNCS is committed to maintaining a low-barrier, transparent, and accountable funding process while expanding its capacity to support member-driven projects and long-term sustainability.

 

POSITION OVERVIEW:

The TWNCS Operations, Engagement & Development (OED) Lead plays a central role in supporting the Society’s sustainability and operational excellence. This position supports TWN Members, builds and strengthens internal systems, and contributes to fund development and community engagement.

This position builds the internal systems and documentation processes that ensure continuity, accountability, and sustainable growth for the Society. Working closely with the Executive Director, the OED Lead ensures that administrative, board, and community engagement processes are streamlined, organized, and aligned with the Nation’s strategic goals, helping to shape the Society’s evolving infrastructure.

The OED Lead will also engage with TWN Members directly throughout the Society’s grant application process and lead on fundraising campaigns and events on behalf of the Society.

Preference will be given to TWN Members, those from the TWN Community and internal applicants. External applicants should have experience working for and/or with Indigenous communities and/or Indigenous non-profit organizations.

 

KEY RESPONSIBILITIES:

 

Systems Development & Digital Organization

  • Lead the setup and maintenance of Microsoft 365 tools (Teams, SharePoint, Planner, Forms, Power Automate).
  • Maintain permission settings and version control within SharePoint to ensure document security and consistency.
  • Lead revisions and updates on TWNCS materials in collaboration with the Executive Director and Board.
  • Create and maintain dashboards or summary reports to monitor project progress and impact.
  • Identify recurring process challenges and recommend workflow improvements to enhance efficiency.
  • Develop and maintain centralized systems for digital filing, task tracking, and Board documentation.

 

Governance & Board Support

  • Prepare board and council meeting packages in collaboration with the Executive Director.
  • Maintain confidentiality and ensure version control of all board and member materials.
  • Record, organize, and archive board decisions, ensuring easy access for future reference.
  • Coordinate scheduling, materials distribution, and digital communications with TWNCS Board and TWN Council.
  • Support strategic planning sessions and the Society’s AGM.
  • Provide support to the Executive Director and Board as needed.

 

Administrative & Operational Support

  • Manage correspondence, records, and documentation for Society initiatives.
  • Support financial administration processes such as invoice tracking and grant documentation.
  • Maintain accurate filing systems to support transparency and reporting requirements.
  • Support the Executive Director with data entry, project tracking, and reporting across program areas.

 

TWN Community & External Engagement

  • Provide phone, email, and in-person support to TWN Members applying for grants.
  • Prepare application review packages, agreements, and AP forms for approved proposals.
  • Coordinate community engagement, fundraising campaigns, events, and the development of partnerships.
  • Draft and send invitations, updates, and thank-you messages to donors and supporters.
  • Gather and share stories from grant recipients to highlight community impact.
  • Prepare promotional materials and presentations for potential donors.
  • Maintain accurate contact and stakeholder lists in centralized databases.
  • Support communication between the Society, TWN departments, and the TWN Community.
  • Work with the Communications team to contribute regular updates to the TWN Community Newsletter and TWNCS webpage.
  • Support planning and execution of fundraising campaigns and events.
  • Assist with TWNCS-hosted events for community, staff, and donors.
  • Track engagement outcomes to inform annual reports and year-in-review communications.

 

Process Improvement & Innovation

  • Identify opportunities for automation and simplification of repetitive administrative tasks.
  • Develop templates and digital tools to reduce manual workload and improve consistency.
  • Ensure that operational practices reflect best practices in transparency, accessibility, and efficiency.

 

Qualifications

  • Advanced proficiency in Microsoft 365 (Teams, SharePoint, Forms, Planner, Power Automate).
  • Strong organizational and communication skills with meticulous attention to detail.
  • Demonstrated ability to maintain confidentiality and manage sensitive information.
  • Minimum of 3 years’ experience in administration, communications, marketing, or fund development preferred.
  • Experience supporting governance, board documentation, and/or non-profit operations preferred.
  • Post-secondary education in administration, information management, communications, marketing, fundraising and/or a related field an asset.
  • Experience working with Indigenous organizations or in a Nation-based environment preferred.

  • Comfort with handling sensitive and confidential information.

 

WORKING CONDITIONS:

  • Desk work with extended periods of sitting and keyboard use.
  • Standing and moving during events; occasional lifting up to 25 lbs.
  • Fast-paced environment with changing priorities.
  • Occasional evening and weekend work.
