Events Coordinator (Temporary, Full-Time)(6-months)
This is a temporary full-time position for 6-months with the potential for extension based on organizational needs and performance.
JOB SUMMARY:
The Events Coordinator is responsible for supervising and overseeing the planning, design, production, promotion, profitability, and implementation of Tsleil-Waututh Nation events. The Coordinator ensures the success of annual internal TWN community events. The Coordinator supports and guides departments on their event planning. Other duties include, but are not limited to, reviewing and arranging appropriate venues, catering, transportation, childminding, door-to-door delivery of promotional materials, gifts, and procurement.
The Events Coordinator reports to the Community Engagement Manager and works closely with the Engagement Specialist to ensure the success of annual and ad hoc internal TWN community events as well as TWN events and conferences held externally. The role works collaboratively with the Communications and Engagement team on developing event communications, promotional materials, swag, and signage. They also forecast and monitor event costs within the overall annual Communications budget.
DUTIES AND RESPONSIBILITIES:
- Coordinate internal, annual TWN events, including community celebrations.
- Liaise with and provide guidance to departments on event planning.
- Provide logistical support to TWN events held externally.
- Determine parameters, policies, and procedures of event plans.
- Maintain a TWN events and engagement calendar, in collaboration with the Engagement Specialist.
- Collaborate with Communications staff to develop and implement marketing plans and promotional materials.
- Coordinate door-to-door delivery of event materials and other communications.
- Produce reports on events, outlining challenges and opportunities.
- Maintain detailed and accurate event files such as contacts and financial information.
- Coordinate payments, in consultation with the Engagement Specialist.
- Oversee centralized TWN gifts for Elders, speakers, partners, others.
- Other duties shall be assigned as required.
QUALIFICATIONS:
- Event planning and community engagement background.
- Posts-secondary diploma in Business, Marketing, Public Relations or a related field is an asset.
- 3-5 years’ event coordination preferred.
- May consider a combination of education and experience.
- Strong communication skills, both verbal and written.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).

Physical Demands
Significant desk work with long periods of sitting and manual dexterity activities (keyboard operations).
Lifting or moving audio visual equipment, supplies or materials up to 25lbs may be required.
