JOB SUMMARY:
Reporting to the Education Manager, the Education Services Coordinator will provide day- to-day operations support and administrative assistance to the Education Program. The Education Services Coordinator will work closely with the Education Manager and Tsleil-Waututh Community to support student learning, achievement, and success. Working on a one-to-one basis or in a group setting, you will make recommendations and support the Education Manager regarding programs or educational and cultural activities that address the needs of Indigenous students. The Education Services Coordinator must develop and maintain effective, professional relationships with students (K-Post Secondary).
The Education Services Coordinator will be required to perform an array of routine administrative duties including drafting and editing time-sensitive correspondence, taking minutes, preparation of presentation materials, and scheduling appointments, supporting education with various tasks to maintain and keep student files up to date. This position also supports educational services ensuring communication flow, student service support and event planning.
DUTIES AND RESPONSIBILITIES:
- Liaise with staff, stakeholders and other TWN departments and staff
- Attend stakeholder meetings or committees with the Education Manager and providing community input as required
- In collaboration with the Education Manager, develop and maintain positive relationships with families to provide educational supports
- Assist with individuals and families completing program and service forms; releasing school cheques once all documents
- Prepare or forward draft documents and other correspondence materials (e.g. flyers, notices, letters, event calendars, etc.) to Education Manager for review, approval and distribution.
- Collect information to be included in the community and/or department newsletter by deadline
- Photocopy, fax or scan documents, routine filing and student file maintenance
- Collect, process, and submit time keeping and accounting documents
- Process Hot lunch orders & student bus passes
- Assist in education event planning, organization and implementation and events hosted in collaboration with other departments
- Maintain a high level of confidentiality with all interactions
- Maintain a professional image and demeanor with all employees, management, families, students and visitors at all times
- Acknowledge and collect student records, applications, education support forms and necessary student data for reporting and student files.
- Engaging and developing relationships with students to provide support in reaching educational goals in a school environment
- Assist with coordinating the Post Secondary Program
- Maintain written documentation for all student related discussions
- Liaise with FNESC or other external organizations for training and staff development opportunities
- Gather and compile data for annual reporting
- Support with TWN Bus program- scheduling and coordination
- Participate as a contributory member of the Community Development Department Team
- Perform other related duties as assigned
QUALIFICATIONS:
- Completion of Grade 12 or equivalent, some university or undergraduate degree in a relevant field preferred
- Relevant work experience or experience working with TWN Community
- Minimum two (2) years of relevant experience in a high volume, fast paced, rapidly changing environment. Experience working in an education or administration environment an asset.
- Working knowledge of Tsleil-Waututh Community, policies and procedures
- May consider a combination of education and relevant work experience.
- Computer proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook)
- Must successfully pass a criminal record check
- Driver’s License Required

- Ability to organize workloads, set priorities and manage work time to meet the needs of the Tsleil-Waututh Nation Education Department
- Confident in speaking to the priorities of the Tsleil-Waututh Community and Leadership
- Strong attention to detail and ability to multi-task
- Solid work ethic with a strong commitment to punctually, reliability and bringing your personal best to enhance the department.
- An interest in and desire to work with youth with their academic, social and emotional needs and an ability to relate to students in an empathetic and respectful manner
- Demonstrated experience working with Indigenous Students and their parents
WORKING CONDITIONS:
Physical Demands
• Requires manual dexterity for operating computers and related equipment, along with significant desk work.
• Involves intermittent physical activity, including walking, standing, sitting, and lifting or supporting clients.
• Responsible for setting up program spaces, which may include moving and lifting tables, chairs, and other equipment.
• Must be willing to participate in job-related workshops, training, seminars, and conferences to maintain and upgrade skills.
Mental Focus
- Tasks may need to be completed under tight deadlines, which can create stress.
- May work with individuals who can occasionally be demanding or challenging; must remain patient, calm, and professional while engaging in conflict resolution or crisis management.
Environmental Conditions
- Work includes some office tasks (documentation, note-taking) but is primarily active and hands-on with youth.
- Interacts with community members, staff, management, and the general public.
- Flexible schedule required to meet youth needs, including evening shifts a few nights per week (e.g., Friday and Saturday). Overtime may occasionally be required.
- Travel may be necessary depending on program needs.
