JOB SUMMARY:
Processes Accounts Payable tasks and supports the tasks of Account Receivable and supports General Ledger tasks as assigned. Ensure assigned tasks are processed in a timely and accurate manner in accordance with TWN, government policies terms and regulations.
DUTIES AND RESPONSIBILITIES:
Accounts Payable:
- Process Accounts Payable transactions within established timelines
- Accurately enter payment forms and batch invoices into the accounting system for timely processing.
- Review and verify invoices, requisitions, and other relevant documentation for accuracy, completeness, and proper authorization before processing payments.
- Enter and review new vendors information, including EFT banking information details, ensuring compliance with internal control policies and procedures.
- Schedule payments, review and edit as needed, print cheques and upload payment files to the bank.
- Download EFT confirmations from bank website.
- Email EFT payment notifications to vendors and maintain proper communication with relevant departments.
- Assist in Visa statement reconciliations, ensuring proper documentation and approvals.
- Identify tax status of suppliers’ invoices
- Reallocate invoices to appropriate general ledger accounts as required
- Manage the Accounts Payable email account, ensuring timely reprocessing and responses to inquiries.
- Respond to internal inquiries regarding payments, including voiding and re-issuing cheques as required
- Address vendor inquiries and reconcile vendor statements as needed.
- Maintain accurate and organized filing of invoices, supplier communications, and other supporting documents.
- Identify areas of process improvements and collaborate with the team to implement best practices.
- Accounts Receivables backup support as required
QUALIFICATIONS:
- Successful completion of secondary school, or an equivalent combination of education, training and experience
- Certificate in Accounting is an asset
- Minimum of three years (3) of related experience in accounts payable
- Experience in accounts receivable, payroll, taxation is considered an asset
- Previous experience working with First Nations organizations in a financial capacity is an asset
- Proficiency in Microsoft Office suites of software, including Word, Excel, PowerPoint and Outlook
- Ability to perform the essential duties of the position, including frequent interaction with various stakeholders
- Must successfully pass a Criminal Records Check
WORKING CONDITIONS:
1. Physical Demands
- Primarily desk work involving long periods of sitting, extended computer use, and keyboard operations requiring manual dexterity.
- Requires physical capability to manage a dynamic work environment and engage in frequent interaction with internal departments and external stakeholders
- Includes administrative tasks such as filing, shredding, etc.
2. Mental Demands
- Required to handle multiple requests and situations simultaneously in a potential noisy and busy office environment, which may make it difficult to concentrate.
- Stress can arise from tight deadlines, a wide variety of tasks, and heavy workloads, particularly during peak periods, requiring strong prioritization and multitasking skills
3. Environmental Conditions

- Typically works in a comfortable office environment, though it may occasionally be noisy.
- Shares office space with other staff and engages in frequent interaction with various stakeholders.
